Privacy Policy
Effective date: July 17, 2026
Last updated: July 17, 2026
Independent Educator Pro LLC ("IEPro," "we," "us," or "our") provides business software, enrollment and payment tools, customer relationship management tools, websites, learning and community features, coaching, and related services for independent educators and education organizations.
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit independenteducatorpro.com, submit a form or lead ad, book a call, purchase or use an IEPro service, participate in the IEPro Coaching Community, communicate with us, or interact with an educator using the IEPro Platform.
1. Scope of This Policy
This Policy applies to personal information handled through:
- The Independent Educator Pro website and public landing pages.
- The IEPro Platform and educator-branded sites powered by IEPro.
- Connect by IEPro, including forms, surveys, calendars, pipelines, email, SMS, automations, and customer relationship management features.
- Class listings, interest forms, enrollment, checkout, subscriptions, seat holds, rosters, attendance, reminders, parent or guardian dashboards, reports, and related operations.
- Learning areas, virtual classroom features, self-paced content, messages, files, and authorized class communities.
- The IEPro Coaching Community, courses, events, workrooms, coaching forms, and support services.
- Meta lead forms and other advertising or social media forms that identify Independent Educator Pro as the recipient.
- IEPro calls, onboarding meetings, technical support, and other communications with us.
This Policy does not replace an independent educator's own privacy policy. Educator customers are independent businesses and must publish a privacy policy under their own business name that explains the parent, learner, prospect, and staff information they collect, how they use it, and the choices available to those individuals. An educator's privacy policy, enrollment terms, consent forms, and legal obligations apply in addition to this Policy. Third-party websites, integrations, and partner offers are governed by their own privacy policies.
2. Our Role and the Educator's Role
IEPro handles personal information in two different roles.
When IEPro Determines Why Information Is Used
IEPro acts as the business or data controller for information about our website visitors, leads, subscribers, customers, account administrators, coaching-community members, event attendees, partners, and people who communicate directly with us. This includes information collected through IEPro marketing pages, Meta lead forms, Book-a-Call booking pages, checkout, onboarding, community participation, and support.
When an Educator Uses IEPro to Serve Families and Learners
An educator or education organization normally decides what parent, guardian, learner, staff, and prospect information to collect, why it is needed, and how long it should be kept. For that information, the educator is the business or data controller, and IEPro generally acts as a service provider or data processor on the educator's instructions.
Educator customers are responsible for:
- Publishing and maintaining their own accurate privacy policy under their business or organization name.
- Linking that policy wherever they collect personal information, including interest forms, intake forms, enrollment and checkout, account registration, learner-access or parental-consent flows, and other collection points.
- Collecting only information they are legally permitted to collect.
- Obtaining parent, guardian, learner, marketing, recording, and other consents when required.
- Responding to privacy requests from the people they serve.
- Configuring access so that information is available only to appropriate users.
- Using email, SMS, advertising, video, and other integrations lawfully.
An educator may start with a template supplied by IEPro, but the educator must review and customize it to reflect the educator's actual business, services, vendors, data collection, retention, and legal obligations. IEPro does not become the educator's data controller or education provider merely by supplying software or a policy template.
If your information was collected by an educator through an educator-branded site, class, form, or account, contact that educator first. We will assist the educator with an appropriate request and may also accept a request at the address in Section 19.
3. Personal Information We Collect
The information we collect depends on how you interact with IEPro and how an educator configures the services.
A. Contact, Identity, and Account Information
We may collect:
- Name, email address, telephone number, and mailing or billing address.
- Username, account identifier, password or authentication data, profile image, and account preferences.
- Business name, website, role, job title, team membership, and professional profile information.
- Communications preferences and consent records.
B. Education-Business and Service Information
We may collect information about:
- The type and stage of an education business.
- Classes, tutoring, coaching, memberships, courses, programs, schedules, prices, and capacity.
- Business goals, challenges, offers, enrollment needs, and operational preferences.
- Educator profiles, credentials, biographies, policies, and public class content.
- Staff, instructor, administrator, and team relationships.
C. Lead, Form, Survey, and Booking Information
When you complete an IEPro form, survey, lead ad, or calendar, we may collect the answers you provide, the page or campaign that referred you, and appointment details.
Our Book-a-Call forms may collect your full name, email address, optional telephone number, optional website or profile link, what you teach, and what you are trying to simplify or replace. Meta may prefill certain fields from your Meta profile when a lead form is submitted on Facebook or Instagram. Providing a telephone number in a lead form does not, by itself, give IEPro permission to send automated marketing text messages.
D. Parent, Guardian, and Learner Information
Educators or parents may provide information such as:
- Parent or guardian name, contact information, and relationship to a learner.
- Learner name, date of birth or age range, grade, experience level, and program eligibility.
- Class interests, enrollments, schedules, availability, attendance, and participation.
- Learning goals, preferences, prior experience, and information about accommodations or support that an educator chooses to request.
- Seat holds, waitlist status, enrollment status, payment status, and related communications.
- Assignments, feedback, messages, files, posts, and other content submitted in an authorized learning area.
- Parent or guardian consent and verification records, such as adult legal name, contact information, mailing address, verification status, consent version, and relevant timestamps, when an under-13 access or consent flow is used.
Educators should not request highly sensitive information unless it is necessary, lawful, and supported by appropriate notice and consent. IEPro is not a healthcare provider, health plan, or school district, and the services are not designed to store medical records or government-issued identifiers unless IEPro has expressly agreed to that use in writing.
E. Transaction and Payment Information
We may collect:
- Subscription plan, purchase, invoice, discount, refund, payout, and transaction status.
- Billing name, billing address, payment method type, and limited payment identifiers such as the last four digits of a card.
- Connected payment-account status and payout information for educator customers.
- External-funding, charter, district, or education-savings-account approval, invoice, allocation, reconciliation, and remittance information when that funding method is used.
Payment processors such as Stripe process complete card and bank information. IEPro does not store complete payment-card numbers.
F. Community, Course, Class, and Communication Content
We may collect posts, comments, reactions, direct messages, coaching questions, event registrations, course progress, assignments, uploaded files, class communications, and support requests. Depending on the feature and settings, this content may be visible to IEPro personnel, an educator, authorized staff, parents or guardians, learners, or other authorized members of a class or community.
The IEPro Coaching Community is intended for adults. Members should not post confidential learner information or information that identifies a child unless doing so is necessary, lawful, and authorized.
G. Device, Log, Cookie, and Usage Information
We and our providers may automatically collect:
- IP address, browser, device type, operating system, language, and approximate location derived from IP address.
- Pages viewed, links clicked, referring page, session activity, dates and times, and feature usage.
- Cookie identifiers, advertising identifiers, and similar technology data.
- Login, security, error, diagnostic, email delivery, and audit-log information.
H. Information from Integrations and Other Sources
If you connect or interact with a third-party service, we may receive information the service is authorized to provide. Examples include payment status from a payment processor, meeting details from a calendar or video provider, lead information from Meta, email delivery information, or account details from an authentication provider.
We may also receive information from educator customers, referrals, public professional profiles, business partners, and people who believe you may be interested in IEPro. We do not use automated scraping to collect private group-member information.
4. How We Use Personal Information
We may use personal information to:
- Create, provision, authenticate, maintain, and secure accounts and educator sites.
- Provide class pages, interest forms, checkout, payments, subscriptions, seat holds, rosters, reminders, reports, learning features, and customer-management tools.
- Process purchases, invoices, refunds, payouts, and subscription changes.
- Deliver coaching, community, courses, events, onboarding, IEPro calls, and support.
- Respond to questions and provide requested information or resources.
- Personalize onboarding and recommend relevant platform, community, or support steps.
- Send operational notices, appointment reminders, security messages, and service updates.
- Send marketing communications when permitted and manage opt-outs.
- Attribute leads and campaigns, measure public marketing performance, and improve our website and offers.
- Diagnose errors, monitor reliability, prevent fraud, enforce agreements, and protect users and the services.
- Maintain records, comply with law, respond to lawful requests, and establish or defend legal claims.
- Create aggregated or deidentified information that does not reasonably identify a person.
IEPro does not use educator-managed learner records, private class content, accessibility information, or a child's personal information for targeted advertising.
5. Legal Bases for Processing
Where the law requires a legal basis, we process personal information on one or more of the following grounds:
- Contract: to provide services you requested or take steps at your request before entering a contract.
- Legitimate interests: to operate, secure, support, and improve IEPro; communicate with business prospects and customers; prevent fraud; and understand service usage, when those interests are not overridden by your rights.
- Consent: when you give permission for a particular use, including certain marketing, cookies, recordings, or processing of children's information. You may withdraw consent for future processing.
- Legal obligation: to meet tax, accounting, consumer-protection, law-enforcement, and other legal requirements.
- Protection of rights and safety: when necessary to protect a person, IEPro, our customers, or the public, as allowed by law.
When IEPro acts as a processor for an educator, the educator determines the legal basis and IEPro processes the information under the educator's instructions and our agreement.
6. How We Disclose Personal Information
We may disclose personal information as follows.
A. To the Educator or Organization Responsible for Your Service
Information submitted through an educator-branded site, class, form, checkout, or account is available to that educator and authorized members of its team. Educators may use the information to answer inquiries, manage enrollment, deliver services, communicate, collect payment, and run their business.
B. To Service Providers
We use providers that support hosting, content delivery, security, website operation, customer relationship management, communications, community and course delivery, payments, analytics, automation, scheduling, video meetings, storage, and support.
Current primary providers may include WordPress, InMotion Hosting, Cloudflare, HighLevel or LeadConnector, Stripe, PayPal, Postmark, Microsoft, Zoom, Google, LiveKit, Meta, and n8n. A provider receives only the information reasonably needed for its function and handles information under its own terms and our applicable agreements. Providers and features can change as the services evolve.
Advertising and analytics providers are used on public IEPro marketing surfaces. They are not authorized to use educator-managed learner records or private class content for advertising.
C. To Connected Services Chosen by a Customer
If an educator or account administrator enables an integration, information may be sent to or received from that service as necessary to perform the requested function. The person enabling the integration is responsible for reviewing its permissions and privacy terms.
When an educator uses external funding, relevant student, parent, class, approval, invoice, and payment records may be disclosed to the charter school, district, education-savings-account program, or other funding organization at the educator's or family's direction. That organization may be an independent data controller with its own privacy obligations.
D. For Payments and Business Transactions
We disclose transaction information to payment processors, banks, fraud-prevention providers, accountants, and other parties needed to complete a transaction. When educators use connected payment accounts, the educator and payment processor may separately control certain payment and payout information.
E. For Legal, Safety, and Compliance Reasons
We may disclose information if we reasonably believe it is necessary to comply with law or legal process; respond to a valid government request; enforce agreements; investigate fraud, abuse, or security incidents; protect the rights, property, or safety of IEPro, our users, or others; or establish or defend legal claims.
F. In a Business Transfer
Information may be reviewed or transferred as part of a financing, merger, acquisition, reorganization, sale of assets, bankruptcy, or similar transaction, subject to appropriate confidentiality and legal requirements.
G. With Your Direction or Consent
We may disclose information when you direct us to do so or give consent.
7. Selling, Sharing, and Targeted Advertising
IEPro does not sell personal information for money.
We may use cookies, pixels, or similar tools on our public marketing website to measure campaigns and show or improve advertising. Depending on the law where you live, making online identifiers and public-site activity available to an advertising provider may be considered "selling," "sharing," or processing for targeted advertising even when no money changes hands.
We do not knowingly sell or share the personal information of anyone under 16 for targeted advertising, and we do not use educator-managed learner information for that purpose.
Where applicable law provides the right, you may request to opt out of sale, sharing, or targeted advertising by emailing hello@independenteducatorpro.com with the subject Privacy Opt-Out. We will also honor a legally recognized browser-based opt-out signal, such as Global Privacy Control, when required by applicable law and when the signal is received by our systems.
8. Cookies and Similar Technologies
IEPro and our providers may use:
- Essential technologies for login, security, preferences, forms, checkout, and core site functions.
- Functional technologies to remember choices and provide integrations.
- Analytics technologies to understand use, diagnose issues, and improve services.
- Advertising technologies on public marketing pages to measure campaigns and reach relevant adult business audiences.
Browser settings can block or delete cookies, but some features may not work correctly. Where required, we will request consent before using non-essential cookies. Settings provided by Meta, Google, or another platform control that platform's own collection and advertising choices.
Where the IEPro cookie-preference tool is available, you can accept, reject, or customize analytics and marketing technologies. Essential technologies remain active because they are needed to provide and secure the requested service.
9. Meta Lead Ads and Social Media
When you submit an IEPro lead form on Facebook or Instagram, Meta collects and provides the information to IEPro. Meta handles information under the Meta Privacy Policy, and IEPro handles the information under this Policy.
We use lead-form information to respond to your request, understand your education business, help you schedule or prepare for an IEPro call, evaluate whether IEPro may fit your needs, and send closely related follow-up. We do not sell Meta lead information. If we want to use it for a materially different purpose, we will obtain any additional consent required by law.
10. Email, SMS, Calls, and Marketing Choices
We may send service messages needed to operate an account or fulfill a request. These can include receipts, password resets, security alerts, enrollment notices, class reminders, appointment confirmations, and changes to the services.
We may send marketing email when permitted. You can unsubscribe using the link in an email or by contacting us. An opt-out from marketing does not stop transactional or account-related messages.
IEPro sends automated marketing text messages only when the recipient has provided the consent required by law. Giving us a telephone number without a clear text-message consent does not authorize automated marketing texts. Where an SMS program applies, message frequency may vary, message and data rates may apply, and recipients can reply STOP to opt out or HELP for help.
Educators using Connect are responsible for obtaining and documenting the consent required for their own email, SMS, calling, and marketing activities and for honoring opt-outs.
11. Payments
Payments are processed by third-party payment providers, including Stripe or another provider displayed at checkout. The processor may collect card, bank, identity-verification, tax, fraud-prevention, and transaction information under its own privacy policy.
IEPro receives limited information needed to confirm payment, manage subscriptions, support educator payouts, prevent fraud, and maintain business records. IEPro does not store complete payment-card numbers.
When a family pays an independent educator, the educator is responsible for its prices, services, refund policy, and handling of family payment information. IEPro provides technology and does not become the family's education provider solely because the transaction uses IEPro.
12. Children's and Learners' Privacy
Adult-Facing IEPro Services
The IEPro public website, marketing forms, Meta lead forms, IEPro calls, business accounts, and Coaching Community are intended for adults and are not directed to children under 13. A child under 13 may not create an IEPro business or community account or submit an IEPro marketing form.
Information Provided by Educators and Parents
IEPro is designed so educators and parents or guardians can provide the limited learner information needed to form groups, enroll students, manage classes, deliver instruction, communicate, and maintain appropriate records. Educators decide what to collect and are responsible for providing notices and obtaining verifiable parental consent or other authorization when required.
Authorized Learner Access
If a learner under 13 uses an online class, course, message, or learning feature powered by IEPro, access must be created or authorized by the educator and a parent or guardian. Depending on the feature, IEPro may process the learner's name or display name, login information, class enrollment, participation, messages, assignments, files, and technical identifiers needed to operate and secure the service.
When a feature requires verifiable parental consent, the educator and IEPro may use a parental notice and verification flow before enabling the child's access. That flow may collect the adult's legal name, email address, mailing address, verification or payment status, consent choices, policy version, and consent, completion, expiration, or revocation timestamps. The exact verification method and disclosures will be presented to the parent or guardian before consent is given.
IEPro does not make a child's personal information publicly available by default. Information can be visible to the educator, authorized staff, the parent or guardian, and authorized members of the same class or learning area, depending on the service and settings. Educators must not use an open or public area for children's personal information.
We use children's information only to provide, secure, support, and comply with the requested education service and the educator's documented instructions. We do not sell it, use it for targeted advertising, or retain it indefinitely.
IEPro does not record or transcribe live classes by default. If an educator enables recording through a video provider, the educator must provide any notice and obtain any consent required before recording. The recording is then also subject to the video provider's terms and privacy policy.
Parent and Guardian Rights
A verified parent or legal guardian may ask to:
- Review personal information maintained about their child.
- Correct or delete the child's information, subject to lawful exceptions.
- Withdraw permission for further collection or use.
- Ask what types of information are collected, how they are used, and to whom they are disclosed.
First contact the educator responsible for the class or program. You may also email hello@independenteducatorpro.com with the subject Child Privacy Request. Include the educator or program name, the parent or guardian's contact information, and enough information to locate the account. Do not email sensitive documents or a child's full date of birth. We may verify identity and parental authority before acting and may coordinate the request with the educator.
If we learn that a child under 13 submitted information directly to an adult-facing IEPro service without appropriate authorization, we will take reasonable steps to delete it. Contact us if you believe this has occurred.
IEPro is not itself a school or school district and does not determine whether the Family Educational Rights and Privacy Act or a state student-privacy law applies to a particular educator. A customer subject to education-record laws must notify IEPro and enter any required written agreement before using the services for regulated records.
13. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. Depending on the system, these may include access controls, role-based permissions, authentication, encryption in transit, monitoring, backups, vendor review, and procedures for responding to suspected incidents.
No system is completely secure. Users are responsible for using strong credentials, limiting account access, keeping devices secure, reviewing team permissions, and notifying us promptly of suspected unauthorized access.
14. Retention and Deletion
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to:
- Maintain an account or customer relationship.
- Provide a requested service or complete a transaction.
- Follow an educator customer's documented instructions.
- Maintain security, prevent fraud, and resolve disputes.
- Meet legal, accounting, tax, contractual, and recordkeeping obligations.
- Establish or defend legal claims.
Retention periods vary by the type of information, the service, the sensitivity of the data, and legal requirements. When IEPro acts as a processor, information is returned or deleted in accordance with the customer agreement and lawful instructions, subject to limited backup, security, and legal-retention exceptions.
Children's personal information is retained only as long as reasonably necessary for the specific education or operational purpose for which it was collected and is not retained indefinitely. Deleted information may remain for a limited time in protected backups before normal deletion cycles complete.
We may retain aggregated or deidentified information that cannot reasonably be linked to a person.
15. Privacy Rights and Requests
Depending on where you live and subject to legal exceptions, you may have the right to:
- Know whether we process your personal information and obtain access to it.
- Request correction of inaccurate information.
- Request deletion of information.
- Receive certain information in a portable format.
- Restrict or object to certain processing.
- Opt out of targeted advertising, sale, or sharing as those terms are defined by applicable law.
- Withdraw consent for future processing.
- Appeal our response to a privacy request.
- Receive equal service and not be discriminated against for exercising a privacy right.
To submit a request, email hello@independenteducatorpro.com with the subject Privacy Request. Describe the right you want to exercise and identify the account, educator, or interaction involved. We may request information reasonably necessary to verify your identity and authority. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and direct identity verification.
If IEPro holds the information only on behalf of an educator, we may refer the request to that educator and assist with the response. We will respond within the period required by applicable law. If we deny a request, we will explain the reason when required and provide appeal instructions.
16. United States State Privacy Disclosures
State privacy laws may require additional information about practices during the preceding 12 months. The categories of personal information IEPro may have collected are described in Section 3 and include identifiers; customer-record information; commercial and transaction information; internet or electronic activity; approximate geolocation; professional or employment-related information; education-related information; audio, visual, message, and user-generated content; sensitive information provided for account, payment, accessibility, or learning purposes; and inferences drawn from business goals, interests, or service use.
We collect these categories from the sources in Section 3, use them for the purposes in Section 4, and disclose them to the recipients in Section 6. We do not sell personal information for money. Public-site identifiers and internet activity may be disclosed to advertising or analytics providers in a way some state laws define as sale, sharing, or targeted advertising. We do not use sensitive information to infer characteristics about a person or for targeted advertising.
We do not knowingly sell or share personal information of people under 16. We do not offer a financial incentive in exchange for personal information. Promotional pricing is based on purchase eligibility and is not payment for personal information.
Residents of states that provide applicable rights may use the request process in Section 15. Where legally required, you may appeal a decision by replying to our response with Privacy Appeal in the subject line.
17. International Users and Data Transfers
IEPro is based in the United States, and information may be processed in the United States and other countries where we or our providers operate. Those countries may have different privacy laws from your country.
Where the European Economic Area, United Kingdom, Switzerland, or another jurisdiction requires a transfer mechanism, we use a recognized legal mechanism or contractual safeguard when applicable. Users in those jurisdictions may have the rights listed in Section 15 and may lodge a complaint with their local data-protection authority.
18. Third-Party Links, Integrations, and Member Perks
The services may link to third-party websites, integrations, directories, payment providers, video platforms, or partner offers. This includes offers in the IEPro Member Perks area. A link may contain a referral or campaign parameter so the partner knows the visit came from IEPro.
The third party, not IEPro, controls the information you submit on its site. Review the third party's privacy policy before providing information. A link or member benefit does not make IEPro responsible for the third party's privacy or security practices.
19. Contact IEPro
For privacy questions, requests, or concerns, contact:
Independent Educator Pro LLC
Massachusetts, United States
hello@independenteducatorpro.com
https://independenteducatorpro.com
For a request about information held by an independent educator, include the educator or organization name so we can route the request correctly. Do not send passwords, full payment-card numbers, government identifiers, medical records, or other highly sensitive documents by ordinary email.
20. Changes to This Policy
We may update this Privacy Policy as our services, providers, or legal obligations change. We will post the revised Policy with a new "Last updated" date. If a change materially affects how we use information already collected, we will provide additional notice or obtain consent when required by law.
